Leads from property portals needed fast contact, but agents were out on viewings and took an average of 4 hours to reply. Industry data shows 78% of leads go to the first agent who responds — they were losing two out of three opportunities. Many leads were also low quality (browsers, people without financing, searches outside the area), wasting agents' time on dead-end conversations.
We connected portal forms to a webhook that automatically sends a WhatsApp Business API message in under 2 minutes. A GPT-4o AI agent starts the conversation, presents the property and asks key qualification questions: purchase timeline, approved financing, area of interest, budget range, in-person or virtual viewing. All data is stored in Airtable, the lead is scored (hot/warm/cold), and if it passes the threshold, N8N notifies the best-matching human agent with a full conversation summary.
