Full management automation for a driving school
A driving school that managed enrolments on paper, lessons on a corkboard and payments by chasing people now has an integrated system where everything runs itself.
Three centres with CRM, billing and access control in separate tools that didn't talk to each other. Now a new sign-up is created in all 3 systems at once.
The chain has 3 gyms, each with the same problem: when a new member signs up, the receptionist has to create the profile in the CRM, then in the billing system (Stripe), and finally in the turnstile access control. The process takes 15 minutes per sign-up and is error-prone. Cancellations are worse: a member cancels but their access stays active for weeks. The management had no way to see consolidated data across all 3 centres.
We integrated the 3 systems via APIs and webhooks with N8N as orchestrator. A new CRM sign-up automatically creates the Stripe billing profile and activates turnstile access. A cancellation deactivates everything in cascade. Rate changes, freezes and reactivations also sync in real time. We set up a Google Sheet for management that updates hourly with consolidated KPIs: active members per centre, sign-ups/cancellations, recurring revenue, churn rate and average occupancy.
